File Sharing

Easily share and upload files related to your BUCS program onboarding, reporting or upload files for automated integration into the BUCS platform.

This article will show you how to:

  1. Upload, view and edit files

  2. Provide users access to the file share

  3. Automatically integrate Excel data files into the BUCS platform

  4. View status and manage integrated files

⚠️In order to access the File section of the Customer Portal, users need the SharePoint Access or Account Administrator role. Click here to learn how to manage user roles.

Upload, View, Edit Files

    1. Navigate to BUCS Customer Portal > File Share > SharePoint File Share to Add or View files. The SharePoint site will open in a new tab.

  1. Click on an existing file to view or edit.
  2. Click Upload to add new files or edit/view existing files.



Provide Users Access to File Share

Users with the Account Administrator or SharePoint Access role have permission to view and upload files in the SharePoint File Share.

  1. Navigate to BUCS Customer Portal > Account Management > User Management.
  2. Find the user you want to provide access and click the Edit icon.
  3. Toggle the SharePoint Access role to Yes.
  4. The user will receive an email invitation to the SharePoint site. The user must click Open to accept the invite.  Users will not have access to the SharePoint site until they click Open.

    ⚠️IMPORTANT: The email invitation may take up to 2 hours to be delivered.

    ℹ️ TIP: Have the user check their spam folder if they have not received the invitation. The invite is sent from no-reply@sharepointonline.com.

  5. If you need to resend a user an invitation to your SharePoint File Share, navigate to the user details screen and click Resend SharePoint Invite.

Automatically Integrate Excel Files

You can upload Excel files to automatically process in the BUCS system and then access the data results through the Data Feed. 

  1. To upload Excel files for integration go to BUCS Customer Portal > File Share > SharePoint File Share > Auto Integrate folder.

  2. Drag and drop or upload files into the Auto Integrate file. If a file contains more than one sheet, each sheet will be setup as its own data table.

    ⚠️IMPORTANT: Files could take up to 15 minutes to process.

  3. Every time you make a change to the file within the SharePoint Auto Integrate folder, those changes will be automatically synced in the BUCS system.
  4. Data connected through the Auto Integrate file share process will be available through the Data Feed where you can pull the data, in combination with other data sets you have connected to BUCS, into Excel or BI tools.

Manage Integrated Files

Once files have processed, you can view and manage their status.

  1. Navigate to BUCS Customer Portal > File Share > Connected Files to view status and last sync date.

  2. Click View File to open the file.
